The Product Catalog houses all the products sold to customers, allowing your company to build accurate, up-to-date invoices in minutes.
Among the benefits, the Product Catalog section:
- Centralizes all product-related information, including UPC codes, units of measure, and packs per case.
- Keeps pricing and any adjustments up to date, such as deposits, taxes, miscellaneous charges and more.
- Allows users to pull in all the information listed above into an invoice.
- Makes finding products easier by organizing them into categories. (Coming soon!)
A user must have Advanced or Admin roles enabled to add, edit, or delete items in the Product Catalog. Basic users can only view the catalog. If you are not sure of your role, click your profile in the upper right corner of the screen.
To look up a product, just enter the description or item number. You can sort on each column by clicking a header to list in alphabetical or numerical order. The search field looks at every column for the characters entered.
A catalog can be built “on-the-fly” when creating an invoice, but it may be faster to build it under the Product Catalog section.
Here, hit Add Catalog Item to start. The following fields are required:
- Item Number. ⚠️Once added, the number cannot be changed (without deleting and re-adding the product).
You can add the item number your company follows or allow the system to auto-generate one. The auto-generated number will be formatted like this:- P-100001 for the first product
- P-100002 for the second product, and so on.
- Description. There is an 80-character limit, which allows for detailed product descriptions.
- Unit of Measure. Select one of the following:
- Bottle
- Case
- Display
- Each
- Keg
The following fields are optional:
- Case UPC
- Pack UPC
- Packs Per Case (PPC)
- Deposit
- Price
How to Edit or Delete Products
Hover over a row in the catalog table to edit or delete a product. The pencil opens the product information that lets you edit every field except the invoice number. The trashcan will permanently delete the product from the catalog.
💡 Editing or deleting a product item does not change invoices (either draft or submitted). The product information will remain the same at the time when the invoice was initially saved.
Downloading Product Lists
All users regardless of role can export the product catalog in CSV format. This makes it easier to import to other systems. Hit Download and either download the entire catalog or select the items you want.
